I.Introduction

TheEnglishAssociation(hereinafterreferredtoasthe"Association")isestablishedtopromotethelearningandappreciationoftheEnglishlanguageamongstudentsandfacultymembers.ThisManagementSystemisdesignedtoensurethesmoothoperationoftheAssociation,maintainorder,andfosterapositiveandengaginglearningenvironment.Thefollowingregulationsandguidelinesareformulatedinaccordancewiththeprinciplesoffairness,openness,andmutualrespect.

II.Membership

1.Eligibility:AnystudentorfacultymemberwhohasaninterestintheEnglishlanguageandiswillingtoparticipateintheactivitiesorganizedbytheAssociationiseligibleformembership.

2.ApplicationProcess:

-Prospectivemembersmustcompletethemembershipapplicationform,whichincludespersonalinformationandastatementofinterest.

-TheapplicationformmustbesubmittedtotheAssociation’sofficealongwithanon-refundablemembershipfee.

3.MembershipTypes:

-RegularMember:Fullrightsandprivileges.

-AssociateMember:Limitedrightsandprivileges,suchasnovotingrights.

4.MembershipDuration:Membershipisvalidforoneacademicyear.Membersmayrenewtheirmembershipuponpaymentoftherenewalfee.

III.OfficersandResponsibilities

1.President:ThePresidentisthehighest-rankingofficeroftheAssociationandisresponsiblefor:

-OverseeingtheoveralloperationsoftheAssociation.

-Callingmeetingsandpresidingoverthem.

-Approvingtheannualbudgetandfinancialreports.

-RepresentingtheAssociationinexternalaffairs.

2.VicePresidents:TheVicePresidentsassistthePresidentintheirdutiesandmayberesponsibleforspecificprojectsorcommittees.

3.Treasurer:TheTreasurerisresponsiblefor:

-ManagingtheAssociation’sfinances.

-Keepingaccuraterecordsofallfinancialtransactions.

-PreparingfinancialreportsforthePresidentandtheBoardofDirectors.

4.Secretary:TheSecretaryisresponsiblefor:

-Takingminutesofmeetings.

-MaintainingtheAssociation’srecordsanddocuments.

-Communicatingwithmembersandotherstakeholders.

5.CommitteeMembers:Committeemembersareresponsiblefororganizingandimplementingspecificactivitiesorprojects.

IV.Meetings

1.RegularMeetings:TheAssociationshallholdregularmeetingsatleastonceamonth.Noticeofthesemeetingsshallbegiventoallmembersatleastoneweekinadvance.

2.SpecialMeetings:SpecialmeetingsmaybecalledbythePresidentorbyamajorityvoteoftheBoardofDirectors.Noticeofspecialmeetingsshallbegivenatleastthreedaysinadvance.

3.Quorum:Aquorumforregularmeetingsshallbetenpercentofthetotalmembership.Forspecialmeetings,aquorumshallbetwentypercentofthetotalmembership.

V.Activities

1.LanguageWorkshops:TheAssociationshallorganizeworkshopsonvariousaspectsoftheEnglishlanguage,suchasgrammar,vocabulary,pronunciation,andbusinessEnglish.

2.DiscussionGroups:TheAssociationshallfacilitatediscussiongroupsontopicsofinteresttomembers,suchasliterature,currentevents,andculturalexchange.

3.SocialEvents:TheAssociationshallorganizesocialeventstofostercamaraderieamongmembersandtopromotetheEnglishlanguageinafunandrelaxedatmosphere.

4.GuestSpeakers:TheAssociationshallinviteguestspeakerstosharetheirexpertiseandexperiencesrelatedtotheEnglishlanguageandculture.

VI.Finances

1.Funding:TheAssociationshallseekfundingfromvarioussources,includingmembershipfees,sponsorships,anddonations.

2.Budget:TheAssociationshallprepareanannualbudgetandsubmititforapprovaltotheBoardofDirectors.

3.FinancialReporting:TheTreasurershallprovidefinancialreportstothePresidentandtheBoardofDirectorsatleastonceasemester.

VII.DisciplinaryActions

1.Misconduct:Anymemberfoundguiltyofmisconduct,suchasharassment,discrimination,orviolationofAssociationrules,maybesubjecttodisciplinaryaction,includingsuspensionorexpulsion.

2.Appeal:AnymemberwishingtoappealadisciplinarydecisionmaydosoinwritingtothePresidentwithinoneweekofthedecision.

VIII.Amendments

1.Proposals:AnymembermayproposeamendmentstotheManagementSystembysubmittingawrittenproposaltothePresident.

2.Approval:AnyamendmenttotheManagementSystemmustbeapprovedbyamajorityvoteoftheBoardofDirectors.

IX.Dissolution

1.Proposal:AproposalforthedissolutionoftheAssociationmaybemadebyanymemberbysubmittingawrittenproposaltothePresident.

2.Voting:Theproposalfordissolutionshallbesubjecttoavotebythemembers.Atwo-thirdsmajorityvoteisrequiredfordissolution.

Article2:ScopeofApplication

TheseregulationsapplytoallmembersoftheEnglishAssociation,aswellastoallactivitiesorganizedorsponsoredbytheassociation.

Article3:ManagementOrganization

TheEnglishAssociationshallestablishamanagementcommitteeresponsiblefortheoverallplanning,organization,andimplementationoftheassociation'sactivities.Themanagementcommitteeshallincludeapresident,vice-presidents,secretaries,andothermembersasneeded.

Article4:Membership

MembershipintheEnglishAssociationisopentoallindividualswhoareinterestedinlearningandimprovingtheirEnglishlanguageskills.Membershipshallbesubjecttothefollowingcriteria:

1.BeastudentorfacultymemberoftheuniversityorhaveavalidstudentID.

2.Bewillingtoparticipateactivelyintheassociation'sactivities.

3.Paytheannualmembershipfeeasdeterminedbytheassociation.

Chapter2:MembershipManagement

Article5:MembershipApplication

Membersshallsubmitamembershipapplicationformtotheassociation,whichincludestheirpersonalinformation,contactdetails,andastatementofintenttoparticipateintheassociation'sactivities.

Article6:MembershipApproval

Article8:MembershipTermination

Membershipmaybeterminatedunderthefollowingcircumstances:

1.Failuretopaytheannualmembershipfeewithinthedesignatedperiod.

2.Voluntaryresignation.

3.Excessiveviolationsoftheassociation'srulesandregulations.

4.Otherreasonsdeemedappropriatebythemanagementcommittee.

Chapter3:ActivityManagement

Article9:ActivityPlanning

Themanagementcommitteeshallberesponsibleforplanningandorganizingactivitiesthatareinlinewiththeassociation'sobjectives.Activitiesmayincludebutarenotlimitedto:

1.Englishlanguageworkshopsandseminars.

2.Englishconversationclubs.

3.Culturalexchangeevents.

4.Englishmovienights.

5.Debatesandspeechcontests.

Article10:ActivityImplementation

Activitiesshallbeimplementedaccordingtothefollowingprocedures:

1.Themanagementcommitteeshalldeterminethedate,time,andvenueoftheactivity.

2.Themanagementcommitteeshallnotifyallmembersoftheactivitydetails.

3.Themanagementcommitteeshallassignrolesandresponsibilitiestovolunteersandmembersinvolvedintheactivity.

4.Theactivityshallbeconductedasplanned.

Article11:ActivityEvaluation

Aftereachactivity,themanagementcommitteeshallconductanevaluationtoassesstheactivity'ssuccessandidentifyareasforimprovement.Theevaluationshallincludefeedbackfromparticipantsandvolunteers.

Chapter4:FinancialManagement

Article12:FinancialSources

ThefinancialsourcesoftheEnglishAssociationshallinclude:

1.Membershipfees.

2.Donationsandsponsorships.

3.Proceedsfromactivitiesandevents.

4.Otherlegitimatesourcesofincome.

Article13:FinancialAllocation

Themanagementcommitteeshallallocatetheassociation'sfundsinamannerthatsupportstheassociation'sobjectivesandactivities.Financialrecordsshallbemaintainedaccuratelyandtransparently.

Article14:FinancialAuditing

Theassociation'sfinancialrecordsshallbeauditedannuallybyanindependentauditororacommitteeappointedbythemanagementcommittee.

Chapter5:DisciplineandAppeals

Article15:Discipline

Memberswhoviolatetheassociation'srulesandregulationsmaybesubjecttodisciplinarymeasures,includingwarnings,suspensionofmembership,orexpulsionfromtheassociation.

Article16:Appeals

Memberswhowishtoappealadisciplinarydecisionmaydosobysubmittingawrittenappealtothemanagementcommitteewithinaspecifiedtimeframe.Themanagementcommitteeshallreviewtheappealandprovidearesponsewithinareasonabletimeframe.

Chapter6:AmendmentstotheRegulations

Article17:ProcedureforAmendingtheRegulations

Theseregulationsmaybeamendedbyatwo-thirdsmajorityvoteofthemanagementcommittee,providedthattheproposedamendmentshavebeenreviewedanddiscussedwiththemembership.

Chapter7:FinalProvisions

Article18:EffectiveDate

Theseregulationsshallcomeintoeffectuponapprovalbythemanagementcommitteeandshallbereviewedandupdatedperiodicallyasneeded.

Article19:Interpretation

Themanagementcommitteeshallhavetheauthoritytointerprettheseregulationsandmakedecisionsregardingtheirapplication.

Article20:Dissolution

IntheeventofthedissolutionoftheEnglishAssociation,theremainingfundsshallbeusedforthepurposeofpromotingEnglishlanguageeducationordonatedtoacharitableorganizationasdeterminedbythemanagementcommittee.

ThisconcludestheEnglishAssociationManagementRegulations.Itistheresponsibilityofallmemberstofamiliarizethemselveswithandadheretotheseregulations.

I.AssociationStructure
