ThereasonsfordevelopingthisServiceAgreementistoallowguidance,complianceandfullunderstandingofalloperatingproceduresenablingandensuringthatallpartiesconcernedhaveclearandfairdirectionintheinterpretationoftheRulesandRegulationsofthebusiness.

TheCompanyoperatesandimplementsthefollowingconditions,operationsandprocedures:

PersonalandPersonnelRecords

TheGovernmentguidelinesindicatethattheCompanymustkeeppersonalandpersonnelrecordsinaccordancewithDataProtectionrulings.RecordsofboththeCompanyandtheOwnermaybeopenforinspectionbytheInlandRevenue.

EqualOpportunityStatement

ByLawandlegislation,theCompanymustcomplyineverymannerwithEqualOpportunitiestoensurefairaccessispracticedforallemployees,sub-contractorsanddrivers.Thedocumentisstoredintheshareddocumentsfolderlocatedonthedesktopofeveryworkstation.

ItistheresponsibilityoftheCompanyandemployeestoensurethattheCompany’sHealthandSafetypolicyproceduresandapplicationsaremaintainedandupdatedinaccordancewithGovernmentandLocalExecutiverecommendationsoftheLocalAuthority.Thedocumentisstoredintheshareddocumentsfolderlocatedonthedesktopofeveryworkstation.

TheCompanymustensurethataformalgrievanceprocedureisinstalled,displayedandimplemented.Thedocumentisstoredintheshareddocumentsfolderlocatedonthedesktopofeveryworkstation.

PersonalProperty

Itistheresponsibilityofallstafftosecuretheirbelongingsatalltimes.TheCompanycannotbeheldresponsibleforanylossordamagetopersonalproperty.PersonalitemsshouldnotbeleftunattendedontheCompany’spremisesatanytime.

PersonalTelephoneCalls

Telephonesareprovidedfortheessentialaspectofthebusinessoperation.Regularoccurrencesofmisusemaybecharged.Pleaseaskyourfamily,friendsandacquaintancesnottocontactyouviatheCompany’sofficeexceptinanemergencysituation.

EmailandInternet

Eachemployeewillbeallocatedacompanyemailaddressuponcommencementofemployment.Thepurposeofthisistoprovideasimpleandefficientmeansofcommunicationbetweenemployees,co-workersandmanagement.Employeesshouldensuretheychecktheirinboxatthecommencementofeachshiftandreplypromptlytoanymessages.Whilstthisaccountisnotrestrictedtobusinessuse,youshouldbeawarethatshouldyouleavetheCompany’semploytheaddressallocatedtoyoumaybecloseddowntoensuresecurityandconfidentiality.

Internetaccessisintendedforbusinessuseonly.Employeesshouldnotaccesschatroomorgamingsitesastheadware/malwarecontainedonthosesitescanseriouslyimpedethecomputersystem.

Political–ReligiousActivity

UndernocircumstancesmustanystaffmemberparticipateorencouragepoliticalorreligiousactivitywhilstonCompanypremisesorundertakingactivitiesonbehalfoftheCompany.

DressandManner

TheexpectationisthateveryrepresentativeoftheCompanywillpresentthemselvesinanappropriatemannertomeetwithemployer,colleagueandcustomerexpectations.Acasualdresscodeisacceptablebutbusinessimage,personalhygieneandinoffensivedresssenseshouldbepriority.

PersonalHarassment

Asanemployer,itistheCompany’sresponsibilitytoprotectitsemployeesfrombullying,harassment,intimidationandthreateningoraggressivebehaviour.AnyincidencesofsuchwillbereportedtothemanagementandtheCompany’sgrievanceprocedureswillbeactivated.Ifyouarethevictimofminorormoreseriousincidentsofharassment,whilstonCompanypremises,orwhilstinvolvedinCompanyactivities,itisyourrighttobringittotheattentionofthemanager.InvestigationbymanagementwillberecordedviatheCompany’sGrievanceprocedures.

Confidentiality

Customer,driverandcolleagueinformationisprivateandconfidential.Undernocircumstancesshouldcontactinformationbegiventoanythirdpartieswithouttheexpresspermissionofthepersonconcerned.Ifinanydoubt,refertoJasonDeakin,SusanBintliffortheSupervisorondutyatthetime.

HandlingCash

Unlessyourroleisspecificallydesignatedtobehandlingcash,anymoneyhandedinbydriversorcustomersmustbedealtwithinthefollowingmanner:

Areceiptwrittendetailingthedate,nameofpayee,amountandpurposeofpayment.Thetopcopytobehandedtothepayeeandbottomcopyretainedinthereceiptbook

Thecash,alongwithanotedetailingasabove,placedinacashbagandeitherhandeddirectlytoSueDawson,SueBintlifforJasonDeakin.IfnoneoftheseareavailablethenthemoneyshouldbeplacedinthedrawerofJason’sdesk.

Ifyoutakeanycashouttopayforgoods/servicesonbehalfoftheCompanythenadetailednoteofthedate,amountandpurposeshouldbeplacedinthetin,alongwithanyreceiptsifavailable.

LostProperty

AllitemsoflostpropertyshouldbehandeddirectlytoJasonDeakinorSueBintliff.Ifneitherisavailablethenitshouldbeputintheappropriateboxontheshelfintheupstairsbookingoffice.AnyenquiriesregardinglostpropertyshouldbecarefullynotedandpassedtoJasonDeakin.Noconfirmationtothecallershouldbemaderegardingthewhereaboutsoflostpropertyunlessyouareabsolutelycertainthattheitemisintheofficeandcanbelocatedimmediately.IfindoubtreferthecallertoJasonDeakin

Absence

IfyouareunabletoattendworkforanyreasonyoumustinformJasonDeakinimmediately.Ifthisisbytextoremailandyoudonotgetanimmediateresponsethenyoumustmaketelephonecontact.IfJasonisunavailablethenyoumustinformthemostseniormemberofstaffondutyatthetime.IfyoucannotgiveadefinitedateforyourreturntoworkthenyoumustkeepJasoninformedassoonaspossiblebeforeeachshiftyoushouldbeworking.

Timekeeping

Itisexpectedthatyouwillarriveattheofficeinsufficienttimetobeatyourworkstationatthetimeyourshiftcommences.

TimeSheets

Mustbecompletedattheendofeachshift,torecordaccuratelyyouractualstartandfinishtimes.Youshouldrecordanytimetakenduringyourshifttoattendpersonalerrands,(thisdoesnotincludebreaksofupto10minutesforeachhourworked).AtimesheetmustbecompletedinadvancepriortoanyweekcontainingaBankHolidayMonday.Fullinstructionscanbefoundinthefrontofthetimesheetfolder.

BonusPayments

Inadditiontoyourstandardhourlyrate,youwillreceive3pforeverybookingyoumakeand2pforeveryeventyoudealwith.Thesebonusesmaybewithheldforanyofthefollowing:

Failuretoattendworkwithlessthan48hoursnoticegiven

Latearrivalfortwoormoreshiftswithinaweek

Failuretocompleteatimesheet.

MainResponsibilities

Yourmainkeytaskareasofresponsibilityaretoreceiveandentertelephonebookings,anddealwithdriverandcustomerenquiries.

LoggingOn

YouwillbeprovidedwithauserIDandpasswordattheendofyourfirsttrainingsession.Itisessentialthatyoulogincorrectlyatthebeginningofeveryshift,andlogoutoftheworkstationattheend.

Youwillalsobeallocatedapersonalextensionnumberwhichyoumustusetologontothephoneadjacenttoyourworkstation.Itisvitalthattelephonesareactiveatalltimes;thereforeyoumustNOTlogoutofyourtelephoneattheendofyourshift;whenyoustartyourshift,youmaylogoutthepersonwhowaspreviouslyloggedinandthenIMMEDIATELYloginonyour
