1、第九講,英文會(huì)議紀(jì)要 Minutes,1,General Introduction,會(huì)議有各種各樣的,如:委員會(huì)會(huì)議,董事會(huì)會(huì)議,全體員工會(huì)議等,有些是比較正式的會(huì)議,由專人主持會(huì)議,會(huì)議中由一名懂財(cái)務(wù)或法律的主任秘書(shū)記錄討論過(guò)的事項(xiàng)及決定,然后再由其秘書(shū)根據(jù)記錄整理打印成文,印發(fā)給各位與會(huì)者及相關(guān)人員,這就是會(huì)議紀(jì)要(Minutes)。會(huì)議紀(jì)要不必要記下發(fā)言人的每個(gè)字、每句話,只需要概括摘要會(huì)議內(nèi)容及結(jié)果。會(huì)議紀(jì)要有其特定格式,語(yǔ)言和措辭也有其特點(diǎn)。,2,一、語(yǔ)言與措辭,會(huì)議紀(jì)要的語(yǔ)言與措辭有三個(gè)特點(diǎn): 1. 語(yǔ)氣要正式; 2. 動(dòng)詞一般采用被動(dòng)式; 3. 措辭盡量采用常用詞。 詞匯的選擇對(duì)

2、語(yǔ)氣和規(guī)范程度的影響較大,其次還有六個(gè)因素也制約你的行文規(guī)范程度,即語(yǔ)言縮寫(xiě)、縮略、人稱代詞、被動(dòng)語(yǔ)態(tài)和讀者對(duì)象。 A. 就語(yǔ)言而言,語(yǔ)言用得越正式,越現(xiàn)出商午氣息。如: Informal Formal so-so satisfactory,3,B. 避免縮略語(yǔ),用其全稱: Informal Formal arent are not Shes She is, She has C. 避免縮寫(xiě),用其整體: Informal Formal Dept. Department Corp. Corporation D. 避免使用人稱,用非人稱術(shù)語(yǔ): 不 用 常 用 Our idea the company

3、s proposal We wanted the corporation required Your letter to us the correspondence received,4,E. 被動(dòng)語(yǔ)態(tài) 使用被動(dòng)語(yǔ)態(tài)給人感覺(jué)以中性,文件似乎由傳真機(jī)所發(fā),它能將人的注意力引向信息本身,而不是注意誰(shuí)提出此建議,作出此決定等。如: A salary cut was proposed. Mr. * proposed a salary cut.(這種寫(xiě)法會(huì)遭人注意或受到攻擊,即使在會(huì)議上通過(guò)了,也是集體或多數(shù)人的意見(jiàn),記錄的也只是結(jié)果。 F. 態(tài)度 措辭常常能反映人際關(guān)系。紀(jì)要中對(duì)上級(jí)、對(duì)同行、對(duì)同事以

4、及對(duì)下級(jí)所用的語(yǔ)氣和態(tài)度是絕然不同的。對(duì)上級(jí)用尊敬、對(duì)同事同行用禮貌、對(duì)下級(jí)用權(quán)威命令式語(yǔ)氣。這種語(yǔ)氣差別主要體現(xiàn)在動(dòng)詞上:,5,對(duì)上級(jí) 對(duì)下級(jí) could be is should be is would be will might/may be will seems to be is looks as if is appears is almost decided decided about certain certain,6,二、會(huì)議紀(jì)要常用表達(dá)法 1. 記錄委員會(huì)聽(tīng)取了某報(bào)告或建議: The committee heard/noted/recognized/recorded that

5、e.g. The committee heard the report. 2. 記錄委員會(huì)決定最好采取某措施; The committee agreed/conceded/concurred/decided/ found/ resolved (to) that e.g. The committee resolved to purchase the warehouse. 3. 記錄委員會(huì)決定最好不采取某措施: The committee declined/agreed not/refused/rejected(to) e.g. The committee rejected the proposa

6、l to purchase the warehouse.,7,4. 記錄委員會(huì)得到某指示或建議; The committee was advised/informed/instructed/notified/ (that)/ (to) e.g. The committee was notified of the guidelines. 5. 記錄委員會(huì)決定等待一段時(shí)間: The committee deferred/postponed/shelved/tabled e.g. The committee shelved the proposal. 6. 出席會(huì)議的成員及頭銜; The follo

7、wing members were in attendance( or present): Sara Simms, Chairperson Jim Smith, Director of Personnel 7. 沒(méi)有出席會(huì)議的委員: The following members were not in attendance(or present or apologies for absence):,8,Ken Smith, Supervisor of Operations 8. 被邀請(qǐng)來(lái)列席會(huì)議的成員或僅就某個(gè)事項(xiàng)被邀請(qǐng)參加 Present by invitation Present by in

8、vitation for Item Three,9,三、會(huì)議紀(jì)要的格式 會(huì)議紀(jì)要的格式較為特殊,一般如下: 1. 標(biāo)題(Heading) 2. 出席會(huì)議人員(Attendants) 3. 未出席會(huì)議人員(Non-attendants) 4. 特邀與會(huì)者(Special Attendants) 5. 有關(guān)上次會(huì)議紀(jì)要的評(píng)論(Endorsement of Minutes) 6. 舊事項(xiàng)及新議題(Items of old and new business) 7. 下次會(huì)議地點(diǎn)、時(shí)間、日期(Place, time and date of next meeting) 8. 會(huì)議主持人及記錄人員簽名(Si

9、gnatures of Chairperson and Secretary),10,MINUTES OF A MEETING TO DISCUSS FACTORY EXTENSION 10th OCTOBER 2003 3 P.M 1.
